General: Once an agreement has been made to proceed with tuition, the parent or guardian, student and tutor enter into a contract, agreeing to follow the Terms and Conditions cited below.

Environment: The parent or guardian, student and tutor agree in advance of a tutorial on a suitable environment for the tuition to take place.  For online tutorials, it is important to ensure a space conducive to learning as well as a strong Internet connection.  This can be determined during the introductory conversation between the tutor, student and parent or guardian.  All parties must be happy with the arrangement.

Behaviour and time keeping: The student is expected to participate in tutorials in order to gain fully from them.  Tutorials are 1 hour in length, unless agreed otherwise. The tutor reserves the right to cut short a tutorial if the conduct of the student is not conducive to learning.  If the student is late for a session, the session will end at the original time intended.  In both instances, the tutorial will be charged in full.  48 hours notice is required before cancelling or rescheduling a session. If a student forgets a session or is not there for a session at the agreed time without 48 hours notice, the tutorial will be charged in full.

Payment:  Prep School Tutor offers a complimentary introduction to the tutor as a first step in the process for all online tuition. This takes the form of a conversation to meet the tutor and clarify the objectives. Following this, tutorials begin: if the client has booked a single tutorial, the client pays for the tutorial in full prior to the tutorial via direct bank transfer.  There is a one off processing fee of £150 payable with the first pro-forma invoice. 

An informal assessment of the student is integrated into part of the first paid session and is included in the hourly rate. This is in the form of tasks that the tutor guides the student through to gauge level and inform planning.

In terms of VAT, Prep School Tutor is currently enjoying a period of being VAT free.

Cancellation policy: Tutorials cancelled less than 48 hours in advance of the agreed time are automatically charged for in full.  The client and tutor are to give reasonable notice of any holiday commitments that result in a change to the tuition timetable.  In the case of illness, as much notice as possible is given by either the tutor or client.  An alternative tutorial date is then arranged.

Technical aspects: For online tutorials, every measure is undertaken to ensure strong connectivity between the tutor and the client computer.  If ever connectivity is poor and the connection is lost, the tutor attempts to reconnect immediately.  If the situation is not resolved, the tutor messages the student to suggest an alternative time.  The client is credited for a full hour tutorial if the initial session lasted less than 30minutes in length.  If the lesson was broken in the second half of the hour tutorial, the client is credited with 30 minutes.

For an efficient connection, Prep School Tutor recommends a high-speed broadband connection of 4mbps down/ 512 kbps up and a computer with a Core 2 Duo 1.8GHz processor.  The minimum you will need is a high-speed broadband connection of 512 kbps down / 128 kbps up and a computer with a 1GHz processor.   Prep School Tutor also advises versions of Skype / Zoom are regularly updated.

Prep School Tutor Ltd strongly advises that the computer is linked to the router via an Ethernet cable.  Tutorials cannot be done effectively on an iPad or similar tablet device.  

Guarantee: For students studying for pre-tests, 11+ exams, 13+ Common Entrance and Scholarship exams or for all national exams, whilst there is no guarantee of success, Prep School Tutor is committed to doing everything possible to guide and encourage each student to reach their full potential across the skills.

Responsibilities: The tutor is not responsible for looking after minors whilst tutoring.  A responsible adult must be on the premises during online tutorials. 

Data Protection Act:  Prep School Tutor uses client data solely for the purposes of the services that it provides.  Clients providing personal data consent to the use of that data by Prep School Tutor for the purpose of billing, fee collection and to enable direct contact with them as required.

Jurisdiction:  These Terms and Conditions prevail over any other terms of business or conditions put forward.  Prep School Tutor will notify all clients of any changes in writing.

By agreeing to proceed with tutorials, the client agrees to the terms and conditions.
